How To Decrease COVID-19 Risk At Meetings And Trainings

The more you interact with others and the longer you interact with them the higher your risk of COVID-19 infection. In line with the latest guidelines issued by the Ministry of Health and Rwanda Biomedical Centre related to COVID-19, several precautions have been adopted to minimize the risk of infection and reduce your risk at meetings.

In accordance with cabinet resolution of 28th November 2021, Physical meeting will continue not exceeding 50% of the venue capacity. People attending events/gatherings including conferences, concerts, weddings, festivals or exhibitions must be fully vaccinated and tested. As mush as possible, gatherings should take place outdoors or in well-ventilated spaces.

  • Conduct in-person meetings or trainings only when virtual trainings or meetings are not feasible.
  • Limit the size of attendees to only those that are essentially needed.
  • Conduct the training or meeting outdoors if possible.
  • Conduct indoor meetings in a venue with good ventilation, windows that can be opened.
  • Conduct meeting in a venue that allows all participants to attend without exceeding 50% capacity.
  • Private businesses with essential staff at no more than 50% capacity while other employees continue working from home on a rotational basis.
  • Markets and malls with essential vendors and must not exceed 50% of registered traders.
  • Place of worship adhering to health guidelines to function at 30% maximum occupancy.
  • Traditional, civil and religious are not permitted, for funerals (50 persons max) and Kiriyo/Vigil/wake (30 persons max).
  • Place chairs or benches at least 2 meters apart.
  • Provide hand Washing stations throughout the meeting venue (entrance, toilets).

  • Notify meeting attendees that they will not be allowed to attend the meeting if they have COVID-19 symptoms and encourage them to stay home if they are unwell.
  • Screen each participant for symptoms each morning (fever, cough, trouble breathing, loss of smell, loss of taste).

  • Wash hands upon entry into the meeting and encourage frequent hand washing.
  • Wear a mask at all times.
  • Watch physical distance of more than 1m

(microphones, phones, etc.) should not be shared. When this is not possible tools and equipment should be disinfected after each participant’s use.

  • Require hand washing before eating or drinking
  • Serve pre-packaged individual meals instead of buffets
  • If using buffets, ensure the meal preparation staff are screened for COVID-19 symptoms and follow the three Ws
  • Stagger the breaks to decrease crowding
  • Conduct meals and breaks outdoors

  • Not adhering to required COVID-19 prevention measures (required masks, hand washing, and social distancing)

Lowest risk: Virtual-only activities, events, gatherings and should not exceed 30% of venue capacity

Moderate risk: Smaller outdoor and in-person gatherings in which individuals from different households remain spaced at least 2 meters apart, wear masks, do not share objects, and come from the same local area (e.g., village, cell).

Higher risk: Medium-sized in-person gatherings that are adapted to allow individuals to remain spaced at least 2 meters apart and with attendees coming from outside the local area.

Highest risk: Large in-person gatherings where it is difficult for individuals to remain spaced at least 2 meters apart and attendees travel from outside the local area.
